Set up Multi-Factor Authentication for your Wordnerds Account
All the info you need on making your Wordnerds account more secure.
You're likely reading this because:
- You want to learn more about Multi-Factor Authentication and how it keeps your account/data safe
- You’re a Wordnerds customer, and Multi-Factor Authentication is being applied to your account, and you're looking for help in setting it up on your mobile device
- You've set up Multi-Factor Authentication, but you’ve lost your second device and need help using your recovery code
- You’ve set up Multi-Factor Authentication, but you’ve lost your second device as well as your recovery code!
What is Multi-factor authentication? And why is it a good thing?
When you log into the Wordnerds platform for the first time you will be prompted to set up your two-factor authentication (otherwise known as '2FA' or Multifactor Authentication, 'MFA'). Subsequently you'll need to verify your identity using a second device - most likely your mobile phone, so we can associate your Wordnerds account to two separate devices.
- Alternatively, MFA may be enabled some time after your organisation is set up in the platform. In this case, you'll see a new MFA screen from the point this feature is switched on by one of our admins.
Because logging in with MFA requires access to a second device, the risk of a potential intruder gaining access to your account is much lower - even if they know your app password! Given the types of data we handle at Wordnerds and the nature of data that you'll inevitably be passing into our platform, we've decided to make MFA a mandatory part of our application. Your interests, as well as the protection of your data and your customer data, are something we take very seriously.
How to Set up your Mobile Device for a Smooth and Safe Login
1. Download a appropriate third-party app. Assuming you'll be using a mobile as your MFA device, we recommend installing and using one of the third-party authenticator applications below. Those marked with a * are our personal favourites!
- Google Authenticator*
- LastPass Authenticator*
- Microsoft Authenticator*
- 1Password authenticator
- Authy
- FreeOTP
2. Log in to begin setting up MFA. When you log in for the first time, OR when you log in for the first time after MFA is enabled, you'll see some standard in-app prompts to configure your second device. Scan the QR code presented by the platform using the in-built scanner of your app of choice (or enter the 'secret' code underneath the QR).
3. Associate your mobile. Insert the verification code from your third-party mobile app into the Wordnerds site, and click authenticate.
4. Write down your recovery code! You'll subsequently be given a recovery code by the Wordnerds platform. This can be used to log in to Wordnerds should you ever lose your second device. Copy this code and store it somewhere safe - for security reasons, we only show you this code once.
5. Finalise your setup. Click continue, and voilà - you are now set up with MFA, and logged into Wordnerds.
Will I have to Enter my MFA Code Every Time I Log in?
The observant nerds among you will notice a 'remember this device' option in the MFA login screens. If you tick this box, we won't prompt you for a MFA code on that specific device for the next seven days after logging in. During this time, you'll only need your username and password to log in on that device.
However, if you log in from a different computer or device, you will again be asked for your MFA code. If you tick 'remember this device' again, a separate seven-day countdown will start.
Using your Recovery Code
When you set up your MFA, we provide you with a recovery code. If you ever lose access to your MFA device and can't authenticate using your computer alone, this code serves as a one-time backup that allows you to access the platform. It is unique to you and is only given during the initial MFA setup.
Important: The recovery code can only be used once. After using it, you will need to set up MFA on a mobile device again.
This means you'll need to delete the existing Wordnerds account from your third-party authenticator app and re-add it by scanning the QR code (see steps 2–4 above), then follow the remaining login steps.
Uh-oh, I lost access to my MFA device and lost my recovery code!
Don't worry! These things happen! In this event, please contact your Customer Success Manager who can help to sort things. Once this is completed, you'll automatically be prompted to set up your MFA again, from the login screen.
